The GatherUs Pre-Event Check-In

(pun intended)

Your General Rehearsal

Your first event is the steepest part. After that, the rhythm sets in fast. Here’s what needs to happen — short version. The full first-time organizers guide walks through the why and the how behind each item.

Before the event

  • Tell your existing community what’s changing, at least a week out
  • Push pre-registration — the single biggest lever for a smooth door
  • Run a full end-to-end rehearsal at least 24 hours ahead
  • Connect every printer to the GatherUs Printer app, and have a backup printer on site
  • Stock label rolls at 150% of expected attendance
  • Pick your QR strategy: per-event, Series QR, or trust-based check-in
  • Creating your own QR code? Use the exact URL from GatherUs. Find it below your QR code, or by clicking the “Check in link” in your event dashboard. Make sure to inform your designer.

  • Upload your sticker logo and floor plan
  • Add Terms & Privacy Policy to Legal Consent in Community Admin

On the night

  • Build in a real prep window — finish setup well before doors open
  • Verify internet on every device
  • Tape down cables
  • Staff three roles: Greeter, Desk, Floater
  • Keep signage simple, at eye level
  • Bring the kit: power strip, spare label roll, printed QR fallback, sharpie, tape
  • Lead with warmth, small delays are forgiven when the welcome feels right

The full guide covers troubleshooting, the communication timeline, door layout, and the framing that helps a familiar community embrace a new ritual.
